# Grids

## This guide offers a comprehensive overview of filtering, grouping, and exporting data within a grid interface, making it an essential resource for users looking to efficiently manage and manipulate large datasets. Click the Filter icon in any of the column headers

Filter menu will open

Different data/column types will contain different filters. Clicking on "Due Date" will open the date filter.

Click on the dropdown to select the type of filter required.

Select any of the options.

Type or click on the date field to input data.

Click "Show date picker"

Select your date visually.

Click "Apply"

If you wish to reset that column filter just press "Reset".

Click "Action Type"

Click "(Select All)" to de-select/select all values in the list.

Scroll down the list if it is large enough.

Click "Filters" in the side panel for a full list of filters.

Click " >" to expand the filter for that header.

Apply filters to the grid via this side panel.

All filter types are visible here for simple handling.

Click "Filters" to hide the toolbar from view.

Click, hold down and drag Headings into the "Drag to Group" section. Here you can see "Action Type" has been pulled into the Group bar. Groups will be displayed under "Group" if this function is being used.

Expand the dropdown to view the grouped items.

Click on the "X" to remove the group.

Click on Group Headers to sort A-Z, click again to go Z-A, click a third time to remove all the sorting.

See the arrow pointing up in the Group Heading by Due Date, denoting A-Z or newest to oldest dates.

Execute multi sorts, allowing you to say Sort by Due Date, then by Action Type then by Locality. Multi sorts will show numbers 1/2/3 in the Heading.

Hold "Shift" and click column headers to start this off.

Hold Shift and Click "Locality"

See numbers next to "Locality (3)" means its being sorted in 3rd priority. 1st is "Description" and 2nd is "Due Date"

Click 3 dots in the column header to see Column options.

Click "Reset Columns" to fully reset columns to a standard view.

You can build advanced reports or manipulate data to make some useful reports by using multiple filters and groupings.

See there are now two groups in the Grouping bar.

Click here to expand values and view the tree created by groupings.

Expand the Grouping to view items, the number of results is displayed by numbers in the group headings.

Click the "X" to remove the groupings.

Right click anywhere within the grid to bring up a menu.

Hover on "Export" then see the secondary option appear Click "CSV Export" to export to CSV or EXCEL to export to EXCEL.

You can also export selected items. To select click inside the box in the selection column (1st column). Note if you click outside the box it might unselect other items.

Click multiple lines/rows and ensure the tick box is visible as below.

Right click in the grid, and hover Export selected, Click "Export Selected as CSV or EXCEL" to export only the selected rows.

Click the three dots next to the filter menu to view the column menu.

Click "Choose Columns" to bring up the Column picker.

Tick the columns you wish to see, untick the columns you wish to hide. These hidden columns will "NOT" export into the CSV/EXCEL downloads.

Click "Toggle All Columns Visibility"

Click the 3 dots to bring up the column menu.

Hover over "Pin Column" and Click "Pin Left" to pin the column you want to the left side of the grid. This is similar to "Freeze Pane" function in Excel.

See the Column is now stuck to the left, and you cannot scroll it at all.

You can pin multiple columns, to the Left/Right.

Here two columns are stuck to the left, Type and Due Date.

Click "Notes"

Shortcuts in the grid exist for simple usage. These are visually shown by being Gold and Underlined. Here clicking on the description will open a shortcut to "Action Completion" Screen.

Clicking on a Tenure Number or Agreement number that is gold/underlined will open up the Summary screen.

Close this by pressing "X" entering these screens will NOT destroy your current grid states or status. So do not worry about losing the Grid settings you have open before entering these screens.

Click "Pivot Mode" to enter pivot mode, this functions exactly as it would in Excel.

When pivot mode is on this bar will be gold.

Click "Pivot Mode"

Add columns to the pivot by values etc. This functionality is most useful in the Expenditure Browser.

Click "Pivot Mode" to revert to the normal grid.

Click "Search"

Enter your text to search, this searchbar will go through the whole grid of data to match. So you can type anything in here. Searching "Test" yielded me no results.

Searching "E 38" brought up a tenement results with E 38 in them.

The cog function menu contains functions for each row. Clicking the cog will open a dropdown selection list.

Click "Edit" to edit the Action

Here you can edit the Due Date and add Notes.

Click "Complete" to open the Action Completion screen (shortcut clicking the Description column hyperlink - Gold).

Click "Alerts" to open the Alerts Screen. Here you can sent email alerts that will send automatic emails based on your conditions.

Alerts can be set on individual actions or Action configurations in general.
